Which hotel assets have legally required inspection cadences?

Fire systems, vertical transport, pressure systems and water safety, at minimum. Each carries a cadence set by code and by the local authority, each usually requires a competent inspector — and several require that the inspector is independent of whoever maintains the asset.

The asset classes with a regulator behind them

The exact list and the exact frequencies depend on your jurisdiction and your authority having jurisdiction. What does not vary is which classes attract statutory attention:

  • Fire systems — detection, alarm, suppression. Cadences run from weekly checks to five-yearly internal assessments per the NFPA 72 and NFPA 25 tables, device-dependent. In the UAE, maintenance and inspection must be by a civil-defence-licensed firm.
  • Vertical transport — passenger lifts, escalators. The UK regime requires a thorough examination every six months by an independent competent person, and it is the clearest statement of the doctrine anywhere.
  • Pressure systems — boilers, calorifiers, pressure vessels. Written schemes of examination, and examination by a competent person.
  • Water safety — legionella control. A written risk assessment, a monitoring regime, and records. This is the one that is most often informal, and it is the one where informality is least survivable.

Competence, and the independence trap

Statutory inspection generally requires defined qualifications. But several regimes go further and require independence from the maintainer — because an inspection that certifies its own work is not an inspection, whatever the certificate says.

The lift regime says this explicitly. It is worth assuming the principle applies more widely than the letter of your local code requires, because an insurer will apply it whether or not the code does.

And the certificate file is the deliverable

Dated reports, inspector credentials, certificates, and a retention period. The authority wants it, the insurer wants it, and the buyer’s due-diligence team wants it — and it is the same file for all three.

The half that gets lost is never the inspection. It is the evidence. A water-safety programme that was genuinely run but never documented turns a single positive legionella result into an investigation with no defence file — and the test result is not what you will be unable to explain.
